  1. Purpose

The goal of this application is to provide to administrators of an Active Directory domain to manage accounts for users connected outside network company.This application is used to inform users of the need to change their password. Passwords can be changed using the Outlook Web Access. Three mails are sent to the user. One 15 days before the expiration date, one 7 days before expiration and one 1 day before expiration.The number of days can be set in the application, depending on the policies of the company.

  1. Description

The application consists of the following three components:

  • MailAlertor Application : Used to configure alerts and miscellaneous parameters.
  • MailAlertor Agent : Used to manage sending emails automatically. This is a windows service. It can be run on Windows 2003, Windows 2008, Windows 7 and Windows XP.
  • MailAlertorDB : SQL database server used to store configuration information and history data
  • The MailAlertor agent and MailALertor application must be installed on the same computer.
  • The MailAlertorDB can be installed on any SQL server. The SQL version must be at least SQL server 2008 or SQL server express edition.
  1. Installation

To install the MailALertor application, run the « MailAlertor setup.exe » file and follow the instructions. As soon as you have installed the MailAlertor application, you have to configure the MailLAertorDB database on the SQL server. To do this refer to the « How to configure the MailAlertor database » document. It is a pdf file located in the folder named « DataBase » under the installation path of the application. To Install the MailAlertor Agent, run the SetupMailAlertorAgent.msi » file and follow the instructions. The MailAlertor agent must be started manually the first time after installation.

  1. Procedure
  • /!\ You must configure MailAlertorDB database before continuing the procedure (refer to the installation chapter).
  • /!\ the MailAlertor Application doesn’t work outside a Windows domain. This means that if you run the application on a computer not inserted in a domain, the application will stop.
  • /!\ On Windows 7 and the Windows 2008 server the application must be run with the administrator rights.
  1. Configuration
  • The first time you run the application, you have to enter the location of the SQL server on which you installed the MailAlertorDB. See installation chapter
  • Enter the SQL server name and if necessary the instance. For SQL server Express edition, the name of the instance is SQLEXPRESS
  • Click on the Check button. If the application cannot connect to the MailALertorDB database on the SQL server, you will have an error message and the application will stop.
  • If the check of the MailAlertorDB is ok, you will get the main screen of the application. This screen contains some tabs.
  • Select the Server Settings tab
  • Enter the Smtp server name
  • Select Smtp authentication if it’s required by your mail system and enter the user name and password.
  • Check that the Database server name matches the SQL server on which the MaiAlertorDb is installed.
  • /!\ The computer where you installed MailAlertor must be authorized to send email.
  • Click on the save settings button to apply your changes
  • Select the Sender tab
  • Enter the display name. The display name is the name the recipient will see when the mail is delivered in his mailbox.
  • Enter the mail address. You have to enter a valid mail address for your organization. This will allow you to receive a ‘Non Delivery Report’ (NDR) and so to follow the outcome of notification.
  • Change the codage of the mail if necessary.
  • Click on the save settings button to apply your changes
  • Select the Configuration tab
  • Select the time you want to send the messages to the users.
  • Enter the path for the folder where the template messages are stored. By default they are put in the folder named ‘template’ during the installation. At installation, the setup program creates four messages. Three messages for standard alerts and a special message, for users with ‘Password never expires’ option.
  • Select ‘Send special message..’. if you want to activate this option, see the above explanation.
  • Select HeartBeat if you want to receive a message indicating that the service is up and running.
  • If you select the HeartBeat option, enter the mail address of the recipient.
  • Click on the save settings button. A message indicating that you have to restart the MailAlertor agent is displayed. After changing the alert emission time, you must to restart the service to get the new time.
  • Select the Messages tab. In this tab, you can configure the messages used by the application
  • You can select the messages already configured in the drop down list. During installation, the setup program creates 4 messages. You can select a message and click on the View HTML message to see the email. All messages are sent in html format.
  • To create a new message enter a name for the reference message, enter a subject, enter the body message or import a html message with the Import message button and select Save message. The application will create a random number for the message and add the message to the list. All reference messages start by IM_
  • You can attach one file for each message. It will be sent with the email.
  • If you select view Html message, you will see the html message and be able to send a test email to any recipient you enter in the recipient field.

  1. Exploitation
  • Select the dash board tab. In this view you can see all available alerts. Next to each alert you have a green or red led depending on the state of the alert. A green led indicates that the alert is active and a red led indicates that the alert is inactive. You can change the status of the by clicking on the led.
  • The Description column indicates the goal of the alert.
  • The scope refers to the users targeted by the alert. There are three scopes : Domain, Group or Organizational Unit.
  • To modify an existing alert click on the icon. The modify alert screen is the same as the new alert screen. See below

 

 

 

 

 

 

  • To create a new alert button, click on the new alert button in the dash board tab.
  • Select the scope of this alert. When your selection is done the ‘View users ‘ button is enabled. By clicking on this button, you will see all users included in the scope. If you apply some options for the search (see tab User filter), all records corresponding to any of the search criteria will appear in orange in the grid.
  • Enter a description for the alert
  • For each of the three alerts you can select when the time of emission.

 

  • Select ‘View assigned users’ button in the dash board tab to view the users. A window shows you the query criteria. You can modify the criteria via the ‘User Filter’ tab.
  • Click on the Ok button
  • The colors are as follows :

Green for users in the first alert

Yellow for users in the 2nd alert

Red for users in the 3rd alert

Orange for users who are « out of the period ».
